Zoom integration guide

Mingloft is an event planning platform. When you create an online event in Mingloft and choose Zoom, the Zoom integration creates a scheduled Zoom meeting on your own Zoom account for that event, using the event's name, start time, length and your time zone. The meeting's join link is saved on the event so your attendees can join it.

Before you start

• A Mingloft planner account.
• A Zoom account. Any plan works, but Zoom's free Basic plan limits meetings to 40 minutes, so host longer events from a paid Zoom plan.
• Pop-ups allowed for mingloft.com in your browser. Zoom sign-in opens in a small pop-up window.

Adding Zoom to Mingloft

You connect Zoom while creating an online event:

1. Sign in to Mingloft, click Create event, then choose Create manually.
2. In the event details, set the event to Online event and choose Zoom meeting as the platform.
3. Click Connect Zoom. A Zoom window opens.
4. Sign in to Zoom if asked, review the permission Mingloft requests (creating meetings for you), and click Allow. The window closes and the button changes to Zoom Connected.
5. Check the event's start and end date and time, then click Continue. Mingloft creates the Zoom meeting at this point.

Each connection is used once, to create that event's meeting, so you connect Zoom again for each new online event. After you have allowed Mingloft once, Zoom usually signs you straight through.

Using the integration

• Your meeting: the meeting appears in your Zoom account (zoom.us, then Meetings, then Upcoming) with your event's name, start time and length. Start it from Zoom as the host, as you would any scheduled meeting.
• The join link: the meeting link appears on your event page in Mingloft, with a button to copy it.
• Your attendees: each ticket comes with a personal join link. Opening it takes the attendee to your Zoom meeting and marks them as attended, so your attendance numbers stay accurate for online events.
• Changing the time: if you move the event after the meeting is created, update the meeting in Zoom as well. Mingloft does not edit meetings once they are created.

What Mingloft can access

• One permission: Mingloft requests only meeting:write:meeting (create a meeting for a user). It cannot read, list, change or delete your meetings, and it has no access to your recordings, contacts, chat or any other Zoom data.
• Used once, then discarded: Mingloft uses the connection to create a single meeting when you click Continue. It does not store your Zoom password, access token or refresh token.
• What is stored: the meeting's join link, saved on your event.

Removing Zoom from Mingloft

1. Sign in to the Zoom App Marketplace with your Zoom account.
2. Click Manage, then Added Apps (called My library in the newer Marketplace view).
3. Find Mingloft and click Remove.

After you remove it:

• Mingloft can no longer create Zoom meetings for you unless you connect Zoom again.
• Meetings already created stay in your Zoom account, and their join links stay on your events. Delete a meeting in Zoom if you no longer need it.
• Mingloft keeps no Zoom tokens, so there is nothing further to revoke on our side. To have meeting links removed from your events, or your data deleted, contact support@mingloft.com.

Troubleshooting

• The Zoom window does not open: allow pop-ups for mingloft.com, then click Connect Zoom again.
• "Your Zoom connection has expired or was already used": a connection works once. Click Connect Zoom again, then Continue.
• "Zoom did not give Mingloft permission to create meetings": connect Zoom again and allow the permission Zoom shows you. If you see this again, contact support.
• "The event's end time must be after its start time" or a request to set a start date and time: correct the event's dates and times, click Connect Zoom again, then click Continue.
• "Zoom is limiting requests right now": wait a minute and try again.
