At a recent Cvent panel covered by TTG Mice, event professionals made something explicit that many of us have been quietly noticing for a while: smaller events, when run well, can outperform larger ones on almost every meaningful measure.

The panellists were not talking about scaling back ambition. They were talking about being more intentional and using AI to fill the gaps that learner formats can create.

It is a shift worth taking seriously because it changes how we think about almost every part of the planning process.

What 'smaller but smarter' actually means in practice

The Cvent panellists pointed to a few things that define this new approach:

  • Formats designed around depth of connection rather than volume of attendance

  • AI used to handle scheduling, personalisation, and follow-ups so planners can focus on the human side of the event

  • ROI is measured through engagement quality, pipeline influence, and attendee sentiment rather than raw headcount

None of this is entirely new thinking. But hearing it from a Cvent panel signals that it has moved from niche experiment to mainstream expectation. Clients and stakeholders are starting to ask better questions about what an event actually achieved, not just how many people showed up.

Why does this matter if you are running events at different scales?

One of the practical challenges this shift creates is that event teams now need to be genuinely good at both ends of the spectrum. A 40-person advisory board dinner and a 2,000-person annual conference are very different beasts, but the same team is often responsible for both.

That is where having a single platform that does not force you to compromise becomes genuinely useful. What to take away from the Cvent discussion

  • Do your smaller events have the same planning rigour as your larger ones, or do they get treated as lower priority?

The Cvent panellists were right that the definition of event ROI is changing. The planners who adapt to that change earliest will have a real advantage, not because they have access to better tools, but because they are asking better questions.
